1. Who is responsible?

Groeikwartier BV, with its registered office at Pastoor Sabotstraat 15, 9120 Melsele (Beveren), Belgium, registered with the Crossroads Bank for Enterprises under number BE 0762.446.130 (RLE Ghent, Dendermonde division), is the controller of the personal data collected through this website. You can reach us at contact@vermeerenvanhaute.be or +32 471 70 20 66.

2. What data do we process?

  • Contact form and email: your name, email address, phone number (optional), the subject and content of your message. A message sent through the contact form is processed on the platform of our hosting provider Microsoft (Microsoft Azure): it is kept in secure storage within the European Union and delivered to us by email via Azure Communication Services in our business mailbox, which is hosted by Google (Google Workspace).
  • Abuse prevention: to prevent spam and misuse of the form, the server keeps a hashed (non-reversible) code of your IP address for up to 10 minutes, after which it is deleted automatically.
  • Technical data: as is customary, our hosting provider records limited technical data (such as IP address, time and page requested) in server log files to keep the website secure and running properly.

We do not ask for special categories of personal data. Please do not submit such data through the form.

3. Why, and on what legal basis?

  • To answer and follow up on your enquiry: based on your consent (Art. 6(1)(a) GDPR) and, where applicable, to take steps at your request prior to entering into a contract (Art. 6(1)(b) GDPR).
  • To invite you to info sessions and keep you informed about new insights, only if you tick that box in the contact form: based on your consent (Art. 6(1)(a) GDPR). You can unsubscribe at any time via contact@vermeerenvanhaute.be.
  • To secure and manage our website: based on our legitimate interest (Art. 6(1)(f) GDPR).
  • To comply with our legal and regulatory obligations (Art. 6(1)(c) GDPR).

We do not use your data for marketing without your explicit consent. We never sell it to third parties.

4. How long do we keep your data?

Messages sent through the contact form or by email are kept for [RETENTION PERIOD, e.g. 24 months] after the last contact, unless longer retention is required by law or needed for an ongoing collaboration. Server log files are deleted by the hosting provider after [HOSTING LOG PERIOD].

5. Who receives your data?

Your data is processed only by Groeikwartier BV and by service providers that help us run the website and email, in particular Microsoft (Microsoft Azure: hosting of the website and processing, storage and sending of form messages, within the European Union) and Google (Google Workspace, business mailbox). We have the necessary agreements in place with these processors. We do not transfer your data outside the European Economic Area, unless appropriate safeguards under the GDPR are in place.

6. Cookies and local storage

This website uses no cookies and no analytics, advertising or tracking tools. No external scripts, fonts or maps are loaded. That is why we do not show a cookie banner.

If you choose the dark theme, your browser remembers that preference using local storage (localStorage, key vvh-theme). This setting stays on your own device, is never sent to us and contains no personal data. You can clear it at any time in your browser settings.

7. Your rights

You have the right to access, rectify and erase your data, to restrict processing, to data portability and to object to processing. Where you have given consent, you may withdraw it at any time, without affecting the lawfulness of processing before withdrawal. Send your request to contact@vermeerenvanhaute.be. We will respond within one month.

8. Security

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. The website is served exclusively over a secure connection (HTTPS).

9. Complaints

If you disagree with the way we process your data, please contact us first. You may also lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.
